ActorsQ Privacy Policy
ActorsQ highly values the protection of your personal data. In this privacy statement, we aim to provide clear and transparent information about how we handle personal data.
We do everything possible to ensure your privacy and therefore handle personal data with care. ActorsQ always adheres to the applicable laws and regulations, including the General Data Protection Regulation (GDPR). This means that we, in any case:

Processing of personal data of customers or suppliers
Personal data of customers or suppliers are processed by ActorsQ for the following purposes:
- Administrative purposes;
- Communication about the assignment, quotation, and/or invitations;
- The execution or issuance of an assignment/quotation.
The legal basis for this personal data is:
- The requested quotation or agreed assignment.
For the above purposes, ActorsQ may ask for the following personal data:
- First name;
- Middle name;
- Last name;
- (Business) Phone number;
- (Business) Email address.
Your personal data will be stored by ActorsQ for the above processing for the period:
- During the duration of the agreement and thereafter only in the financial administration for a maximum of 7 years.
Processing of personal data of prospects, stakeholder/lobby contacts, and/or interested parties
Personal data of prospects, stakeholder/lobby contacts, and/or interested parties are processed by ActorsQ for the following purposes:
- Providing information in the form of newsletters and/or targeted contacts.
The legal basis for this personal data is:
- Verbal consent, submission of a business card, and/or via connection on the Internet and email correspondence.
For the above purposes, ActorsQ may ask for the following personal data:
- First name;
- Middle name;
- Last name;
- Phone number;
- Email address.
Your personal data will be stored by ActorsQ for the above processing for the period:
- During the period that one is considered a prospect, stakeholder/lobby contact, and/or interested party.
Processing of personal data of artists
Personal data of artists are processed by ActorsQ for the following purposes:
- Execution of the agreement;
- Matching the right actor with the right assignment.
The legal basis for this personal data is:
- The invoice/payment statement;
- The contract;
- The selection process.
For the above purposes, ActorsQ may ask for the following personal data:
- First name;
- Middle name;
- Last name;
- Phone number;
- Email address;
- Date of birth;
- Copy of valid ID;
- BSN number (citizen service number);
- Bank details.
In addition to matching, data and answers to more questions can be filled in by artists in our digital search system.
Your personal data will be stored by ActorsQ for the above processing for the period:
- During the period that one has a contract and thereafter only in the financial administration for a maximum of 7 years.
Provision to third parties
The data you provide to us may be provided to third parties if necessary for the execution of the purposes described above.
For example, we use a third party for:
- Managing the internet environment for the website;
- Preparing the annual accounts and tax returns.
We never share personal data with other parties with whom we have not concluded an agreement. With these parties, we make the necessary agreements to ensure the security of your personal data. Furthermore, we will not share the data you provide with other parties unless this is legally required and permitted. An example of this is if the tax authorities request (personal) data from us as part of an investigation. In such a case, we are required to cooperate and must provide this data. We may also share personal data with third parties if you give us written permission to do so.
Security
We have taken appropriate technical and organizational measures to protect your personal data from unlawful processing. For example, we have taken the following measures:
- All persons who can access your data on behalf of ActorsQ are obliged to maintain confidentiality;
- We apply a username and password policy on all our systems;
- We use pseudonyms and ensure encryption of personal data if necessary;
- We make backups of personal data to restore them in the event of physical or technical incidents;
- We regularly test and evaluate our measures;
- Our employees are informed about the importance of protecting personal data.
Worldwide
We provide artist data to parties with whom we have an agreement and who are located worldwide.
Minors
We do not process personal data of minors (persons under 16 years old).
Retention period
ActorsQ does not retain personal data longer than necessary for the purpose for which it was provided or as required by law.
Rights regarding your data
You have the right to access, rectify, or delete the personal data we have received from you. You can also object to the processing of your personal data (or part of it) by us or by one of our processors. You also have the right to have the data you provided transferred to yourself or, at your request, directly to another party. We may ask you to identify yourself before we can comply with the above requests.
If we process your personal data based on your consent, you always have the right to withdraw this consent.
Complaints
If you have a complaint about the processing of your personal data, we ask that you contact us directly. It is always our intention to adhere to legal requirements and to work with our customers and suppliers to their satisfaction, and we will work to resolve any issues to the best of our ability. You always have the right to file a complaint with the Dutch Data Protection Authority, which is the supervisory authority in the field of privacy protection.
